Record automatic door maintenance: schedules, work records and open issues

Connect planned tasks, actual work and the matters still requiring review.

Published and reviewed: 2026-11-02

A useful Record automatic door maintenance record connects a planned task to the work actually performed, the findings, unresolved matters and the subsequent review. Start with the installed assembly and its applicable documents. An attendance signature, a replacement part or a moving door does not establish that every required check is complete.

Establish an entrance register before comparing service records

Give each entrance a persistent identifier. A quotation labelled “main lobby”, a technician's note labelled “east door” and a later invoice listing only a drive model may refer to the same entrance, but the records do not establish that connection. Use the identifier across the equipment register, work tickets, quotations, changes and outstanding issues. Keep a small location description so the next person can find the entrance without relying on the previous contact's memory.

Record the complete model, suffix, door assembly, controls, sensors, locks and options. List the available drawings, manuals and modification records with their revisions. Mark unknown configurations as unknown. If components have changed, preserve the old and replacement identities and the reference supporting compatibility. A familiar casing or abbreviated product name is insufficient evidence of the complete assembly.

The source reviewed for this article is the Record system 20 user manual, document 102-020110469, V2.7, dated 16/02/2023. It distinguishes operating-company inspection from professional maintenance and includes documentation requirements. This is a specific system document with a regional context. Its schedules and legal references must not be turned into a universal maintenance interval or a statement of compliance for every country and Record entrance type.

Turn the applicable requirements into a workable plan

A maintenance plan should identify the task, entrance, document basis, responsible role, conditions and record location. The schedule must be established against the actual equipment, use and applicable project requirements. Traffic patterns, carried loads, cleaning practices, weather exposure and alterations are useful inputs for a competent review; they are not an online formula for extending or shortening intervals.

Keep planned and actual dates separately. If a task cannot be performed because access, another system or a required condition is unavailable, retain the reason and the follow-up arrangement. Repeating the task on a later blank form should not erase the earlier omission. Contracted visits and completed tasks are also different counts: attendance can be recorded while part of the work remains outstanding.

Record What it should establish Common ambiguity Useful continuation
Maintenance plan Task, basis, conditions and responsibility A planned date appears to be completion Retain revisions and reasons
Work ticket Actual scope, time and evidence references Attendance appears to cover every task Separate performed and unperformed work
Finding Observed facts and scoped professional assessment A recommendation appears to be an established fault Give each matter an identifier
Rectification review Work performed and applicable observed results A new part appears to authorise use Refer back to the finding
Handover Restrictions, open matters and next contact A change of staff loses the history Link the next record to the previous one

Assign observation, cleaning and specialist work explicitly

Operating staff can report conditions encountered during normal use, existing indications and changes around the entrance, within their assigned duties and handover instructions. Specialist inspection, adjustment, component work and verification require the relevant competence and applicable procedures. The ability to select a normal operating mode does not establish competence to alter electrical or protective equipment.

Cleaning needs a defined scope too. Exterior surfaces, guides and internal mechanisms are different objects. Do not convert a general maintenance request into an instruction to lubricate every rail. The responsible person must establish the actual location, approved material and work conditions. This article supplies no steps for opening housings, altering settings, resetting faults, overriding protection or testing with a person's body.

Give cleaning and reception staff an understandable escalation route. They should know which changes to report and whom to contact. Where there is unexpected movement, contact with users or a protective-function concern, manage the entrance under the site's safety arrangements and obtain competent inspection. Having someone watch the door does not replace a required protective function. See the entrance safety guide for the evidence boundaries around safety and return to use.

Separate an observation from a diagnosis and an intervention

“Door remains open” describes an observation. “Sensor failed” is a diagnosis that requires evidence. “Sensor replaced” describes work performed. A useful work ticket keeps these statements separate, with the relevant conditions, indication and document references. Do not fill the gap between them by borrowing a generic fault-code explanation from another model.

For a replacement, retain the old part identity, proposed replacement, compatibility response, actual work and subsequent checks of affected functions. A line reading “genuine parts supplied” does not explain which part was fitted or establish the result of the installation. Supply identity, compatibility and the observed result need separate support. The parts identification guide explains why sensor roles and control-unit names also matter.

A normal observation during one period does not establish performance under every operating condition. Record what was actually checked, the conditions and the limitations. If the setting was unavailable or the check was not performed, say so. Avoid using an unqualified “all normal” where a more precise record would let the next technician understand the scope.

Keep an open-issue register through changes of staff

Each finding needs an identifier, facts, an appropriate assessment, the responsible contact and an arrangement for follow-up. An unavailable part, an external system awaiting completion or an untested condition remains an open matter when a visit ends. Distinguish advice, an identified defect and completed work according to the responsible person's assessment, rather than closing every entry with the attendance ticket.

State Required record Evidence for progression Insufficient substitute
Finding awaiting assessment Observation, conditions and reference Scoped assessment by the responsible person A user's guessed cause
Work awaiting confirmation Scope, conditions and responsibility Appropriate confirmation of the proposed work A verbal promise to arrange it
Work performed awaiting review Actual work and component references Applicable checks with recorded results Delivery of a replacement part
Matter still open Limitations, owner and follow-up conditions Evidence addressing the outstanding scope Changing “untested” to “passed”
This item completed Basis, result, date and responsible confirmation Continued record in the maintenance plan A claim that every system is compliant

Return-to-use decisions require the applicable project arrangements and responsible parties. A contractor's work record, a parts receipt and an operator's handover acknowledgement have different purposes. Completing one item should not be enlarged into approval of the whole entrance, all modes or connected building systems. Carry remaining limitations into the next handover.

Define response, attendance, repair and review in the agreement

An agreement should say what starts each time period and which service it describes. Acknowledging a report, discussing documents, attending the site, obtaining a part, completing work and reviewing the affected functions are separate events. A single time promise without its starting condition, working hours and dependencies creates avoidable uncertainty.

Separate planned maintenance, diagnosis, travel, labour, parts, external-system coordination and building reinstatement in the commercial scope. State how additional work is confirmed. Warranty documents and a maintenance agreement should also identify their respective responsibilities; this page does not establish stock, a universal price, a warranty term or an attendance time.

For a change of contractor, list the records received, missing documents, known modifications and unresolved findings. Do not backfill inspections that were never performed. A new register can become more complete as evidence arrives, provided each addition retains its source and date. Protect unrelated personal information and access credentials: these are not needed to identify an entrance and track its maintenance work.

Project enquiries and the blank review worksheet

For an enquiry, provide the project country and city, entrance identifier, complete model information, available records, site restrictions and the problem to be resolved. A city name identifies the project location; it does not establish a local branch, stock or a service commitment. Scope, feasibility and contractual responsibilities require confirmation for the actual project. The international enquiry guide helps organise this information.

Download the blank maintenance record review worksheet. It was prepared by this site as a communication aid. It contains no completed inspection results and is not a manufacturer's maintenance procedure, certificate or project acceptance record. Frequently asked questions

Do all Record automatic doors require the same service interval?

No. Establish the schedule against the installed assembly, its applicable documents, actual use and relevant project requirements. A specific system manual or a contract's visit count does not establish one interval for every entrance.

Can daily observation replace professional maintenance?

No. Observation identifies changes and concerns within assigned duties. Specialist checks, adjustment, component work and verification have different responsibilities and evidence requirements. Record the actual scope of each activity.

Should every door rail be lubricated during maintenance?

Do not assume so. The actual mechanism, location, permitted material and work conditions must be established from applicable instructions by the responsible person. Noise alone does not identify a lubricant or its application point.

Does fitting a replacement part close the finding?

It records an intervention. Closure also needs the applicable review of the affected scope and the responsible confirmation. A delivery or parts receipt does not replace those records or a return-to-use decision.

How should an unperformed task be carried forward?

Keep its identifier, unperformed scope, reason, restrictions, responsible contact and follow-up conditions. Link the next record to the original entry and update its state only against actual evidence.

Are response time and repair time the same promise?

No. Acknowledgement, attendance, parts availability, work and review are different stages. The agreement must define the relevant event, starting conditions and scope for each commitment.

Can missing historical inspections be filled in during takeover?

Do not record work or results that did not occur. List the available evidence, unknown configuration and outstanding matters, then develop the register through real documents and actual work with their sources and dates.

Does a city enquiry establish a local Record service branch?

No. A project location and this site's contact details do not establish a branch, stock, personnel availability or service coverage. Obtain confirmation of the actual project scope and contractual responsibilities.
